MichRN Coach Collective – Terms of Service

1. Who We Are

MichRN Coach Collective provides health and wellness coaching services by experienced registered nurses. Our services include nurse-led coaching (individual and group), lab review with education, care navigation support, and documentation for FSA/HSA or insurance reimbursement when eligible.

2. Who You Are

“You” refers to anyone who accesses or uses our services. By using our services, you affirm that you are at least 18 years old (or are receiving services with guardian consent) and are legally able to enter into this agreement.

3. Scope of Services

We offer coaching and educational services to support clients managing chronic conditions, health-related transitions, and personal wellness goals. Services may include:

  • Coaching sessions (virtual or in-person)
  • Group classes
  • Health education
  • Lab result interpretation and health navigation support

These services are not a substitute for medical care or diagnosis. Always consult a licensed medical provider for medical advice, diagnosis, or treatment.

4. Telehealth & Virtual Services

All virtual or telehealth services require informed consent, in accordance with Kentucky law. By scheduling a virtual session, you acknowledge and consent to receiving coaching services through electronic means and understand:

  • The nature and limitations of virtual interactions
  • That coaching is not a replacement for clinical care
  • That confidentiality will be protected to the extent permitted by law and technology used

5. Client Responsibilities

You agree to:

  • Provide accurate health and personal information as needed for services
  • Attend scheduled sessions and communicate in a timely, respectful manner
  • Use our services only for lawful, personal health purposes
  • Understand that coaching outcomes depend on your engagement and personal effort

6. Payment & Refund Policy

  • Payment is due at the time of booking unless otherwise arranged.
  • We accept credit/debit cards, HSA/FSA cards (when eligible), and can provide documentation for insurance reimbursement.
  • Refunds are not provided for missed sessions or no-shows. One reschedule is allowed per session with at least 24 hours’ notice.
  • Packages are non-refundable once sessions have started, except in cases of documented emergencies.

7. Insurance, HSA/FSA Use

We are not a medical provider and do not bill insurance directly. However, we offer a provider authorization form and service invoices to support your efforts to seek reimbursement through your HSA, FSA, or insurance if your plan allows for coaching/education services.

8. Confidentiality & Privacy

MichRN Coach Collective is not a HIPAA-covered entity, but we voluntarily uphold HIPAA-aligned best practices to protect your personal health information. Your information will never be sold or shared without your written permission unless required by law.

9. Not Medical Advice

Our nurse coaches offer education, accountability, and support — but we do not:

  • Diagnose or treat health conditions
  • Prescribe medication or therapies
  • Offer urgent or emergency care

Always consult your licensed healthcare provider for medical issues.

10. Cancellations & Termination

  • You may cancel or end services at any time with written notice.
  • We reserve the right to end the coaching relationship for disrespectful, abusive, or unsafe behavior.
  • No refunds are provided for sessions already completed.

11. Technology Use

You are responsible for having the technology required to attend virtual sessions. MichRN Coach Collective is not liable for delays or missed services due to internet issues, app failures, or other tech disruptions.

12. Limitation of Liability

To the fullest extent allowed by law, MichRN Coach Collective is not liable for:

  • Health outcomes beyond our control
  • Missed or rescheduled sessions
  • Client misuse or misunderstanding of advice
  • Technology failures during sessions

Our total liability for any claim is limited to the amount you’ve paid us in the last 12 months.

13. Governing Law

These Terms are governed by the laws of the Commonwealth of Kentucky, without regard to its conflict of law provisions. Any disputes shall be resolved in the state courts located in Kentucky.
